Building a Business – So Much To Do, So Little Time

In one of my former lives as an auditor, I found that the best approach to understanding a business process was to lay out a diagram. a flowchart. This kind of visual both aided understanding of the flow of the business and would later serve as a reference in presentations. Taking the time to properly lay out a schematic saved countless hours of retracing steps.

A business process is a collection of activities that create a product or service within an organization. These activities are also related as they are the steps or activities that support the same end goal the same result.

The focus of this article is to show how information systems can assist in business processes and then I will introduce you to a ready-made, or “turnkey” process that will enable you to hit the ground running!

A typical business, even a small one, will usually have many different processes some are related directly to creating the product or service and some support the organization.









In the example above, within the accounting functional area, a business may have a process for accounts payable accounts receivable a general ledger. In the marketing area managing customer service and so on.

It doesn’t take too much imagination to see that information systems can be a very important part in all of the processes listed here by making a business more efficient and helping a business create a better product.

As you might imagine some business processes could be very complex and trying to explain the process to a new member might be very difficult if you just gave them a list of the different activities.

One way we make processes easier to understand is by creating a visual map of the process we call that either a process model or a process flowchart.

This slide shows a flowchart of an online software purchase.


It’s not too difficult to see how the process works.

It still uses the same symbols that we saw in the other flowchart the difference is a lane for each actor or role within the process.

Not only do we see the process activities themselves but we see who is responsible for or who performs each activity.

Many software applications give you the ability to create flow charts.

For example, Microsoft Word Excel PowerPoint in the insert shapes area you’ll have the flowchart symbols you can use to create a basic flow chart.


Although it’s not included with your standard Microsoft Office, Microsoft Visio is a great tool for creating flow charts and charting business processes and it even has some templates that you can start with and then modify as you need.

There’s another set of symbols you might consider when mapping or creating a flowchart of a business process. These symbols are called business process modeling notation symbols.

You can find these symbols in Visio but you will not be able to find them and Microsoft Word or Excel. However, if you’re charting a very complex process this method actually can be very useful.

So why do we create flow charts and use business process modeling? I’ve already mentioned one reason.

It helps simplify very complex processes.

It makes them easier to grasp in a visual format.

Another important reason to create a flow chart is to help identify areas that can be improved in the process. The flowchart might reveal extra steps or bottlenecks that can be eliminated.

When redesigning or improving a process creating a flowchart of the current and the proposed process is a great way to compare the two and show how the revised process can save time money or improve efficiency in some way.
